Identification Requirements

To comply with Virginia e-Notary and Remote Online Notarization (RON) laws, every signer must:

• Present a valid, unexpired government-issued photo ID (driver’s license, passport, state ID, or military ID).

• Ensure the ID image is clear and readable during the verification process.

• Successfully complete all identity-proofing steps required by the RON platform used for the session (knowledge-based authentication, credential analysis, etc.)..

• If identity verification fails, the notarization cannot proceed. You may contact the RON platform support for assistance or refund options.

• Be located anywhere in the United States or internationally, as allowed by Virginia law.

  Important:

  • The notary must always be physically located in Virginia during the notarization.

  • Signers may be located inside or outside the United States, including overseas, as long as they can meet ID verification requirements.

    If a signer fails ID verification or cannot meet platform requirements, the notarization cannot proceed. Refunds or rescheduling options depend on the platform used.

Use of RON Platforms

NotaLink Services performs online notarizations using secure, Virginia-approved RON platforms.

The platform used for your session may vary based on:

• Availability

• Document type

• Required features (e.g., witnesses)

• Client preference

• Identity verification needs

Clients are informed of the platform used before scheduling.

Refund & Cancellation Policy

Refunds and cancellations may differ depending on the policies of the RON platform used.

General Policy (Platform-Neutral):

• Full Refund: Cancellations made 24+ hours before the scheduled appointment

• Partial Refund: Cancellations made 12–24 hours prior may incur a processing fee

• No Refund:

  • Cancellations made under 12 hours

  • Missed appointments

  • Failure to appear

  • Failure to meet ID verification requirements

Platform-Specific Situations:

If a session cannot proceed due to:

• Platform/system failure

• Outage

• Identity verification issues not caused by the client

You may receive a refund or reschedule option, depending on the platform used.

All refund decisions follow the RON platform’s terms, not solely NotaLink Services.

Rescheduling Policy

• Clients may reschedule once at no cost with 12+ hours' notice.

• Additional reschedules may require a new booking.

• If you experience a delay or technical issue, contact us immediately.

Payment Policy

• All appointments must be prepaid to secure your booking.

• Final pricing may vary depending on:

  • Platform fees

  • Document count

  • Required witnesses

  • Additional signers

• No in-person or cash payments are accepted.

You will receive written confirmation of your total cost before the appointment.

Service Limitations

NotaLink Services provides notarial services only. This means:

• We cannot give legal advice.

• We cannot interpret, draft, or prepare documents.

• We cannot tell you whether a document is legally correct.

• Documents must be complete but unsigned before the session.

• We do not determine document validity.

Privacy & Data Security

All notarization sessions are conducted using platforms that provide:

• Encryption

• Audit trails

• Secure ID verification

• Session video recording

• Compliance with Virginia record retention laws

Your personal information is used only for notarization and is never sold or shared outside lawful or platform-required purposes.

Clients will always receive written or electronic confirmation of the final quoted amount before any payment is processed.

Loan Signing Services (real estate document packages) are subject to market changes, document complexity, and platform-based fees. Pricing may vary depending on the size of the package, the number of notarizations required, platform requirements, or the length of the appointment.

All standard notarization fees are charged in accordance with Virginia state law, including electronic and remote online notarization regulations.

Because NotaLink Services uses multiple Virginia-approved Remote Online Notarization (RON) platforms, final pricing may reflect platform-specific costs, including fees for additional signers, witnesses, identity verification, or additional documents.

NotaLink Services strives to maintain transparent and fair pricing while adjusting for platform fees, service demand, and technology costs to provide secure, compliant, and reliable notarization services.

Per Virginia Code § 47.1-19, notarial fees for standard notarizations will never exceed the maximum amounts authorized by law.

Legal Compliance

All services are performed by a Virginia Commissioned Notary Public and Virginia Electronic Notary, in accordance with:

• Title 47.1 of the Code of Virginia

• Virginia Administrative Code for Electronic Notaries

• Virginia-approved RON compliance guidelines

• Platform-specific identity verification protocols

Documents notarized online through an approved RON platform carry the same legal effect as notarizations completed in person.
